Fieldnia privacy notice

This notice explains how Fieldnia handles photos and text during the pilot. It is written in plain English for communications staff.
What Fieldnia does
Fieldnia helps you prepare field photos and notes for publication: restore soft photos, match style, draft captions and stories, and build simple layouts. It is a preparation layer, not a design suite or a photo archive.
Privacy by default
- Photos stay on your device until you choose to run a cloud tool.
- Word documents are read in your browser. You see the exact text before it is sent, and phone numbers, email addresses, map coordinates, ID numbers and likely names are found and removed first unless you untick them.
- Before any upload or download, Fieldnia removes location and camera metadata (EXIF, GPS, XMP, IPTC) where the shared strip utility runs.
- We do not store your uploads on Fieldnia servers during this pilot, unless a later phase adds storage and this notice is updated first.
- Access codes are hashed. We do not log raw codes, file names, image pixels, or prompts that contain personal data in application logs.

Access codes and pilot telemetry
- You enter an invitation code to use paid tools.
- We store a hash of the code, daily use counts, estimated cost, optional ratings, and anonymised product events (for example tool opened, job succeeded).
- Ratings may include an optional short comment. Do not put names, case IDs, or other personal data in comments.
Pilot access requests
- If you ask to join the pilot, we collect your name, organisation, work email, role and, if you choose, a sentence about how you would use Fieldnia.
- The request is sent by email to the Fieldnia team through Resend, our email provider. Fieldnia does not store it on its servers or in its database.
- We use it only to reply about the pilot and delete the email when it is no longer needed.
- To stop repeated requests, a one-way code made from your network address is counted for one hour. The address itself is not kept.
Your choices
- Do not upload photos of people without a lawful basis and organisation approval.
- Prefer already-published, consented, or sample photos during the pilot.
- Sign out your access code when you finish on a shared device.
- Contact us if you need a copy of what we hold for your code hash (counts, ratings, events).
